How to Secure Your Business Using Timart Smart POS
This step-by-step guide explains how to use the Timart Smart POS to verify bank transfers, manage staff safely, and complete your daily reconciliation to ensure every kobo is accounted for.
How to Secure Your Business Using Timart Smart POS
Step 1: Receiving a Transfer Payment
When a customer wants to pay via bank transfer, do not rely on the screenshot they show you on their phone.
Initiate the sale on your Timart Smart POS as usual.
Select Transfer as the payment method.
Ask the customer to make the transfer to your designated business account.
Step 2: Verifying the Transaction (Anti-Fake Transfer)
Before handing over the goods or boxing the item, you must confirm the money has actually arrived.
On the POS screen, tap the Refresh button to pull the latest transaction data from your bank account.
Look for the transaction that matches the customer's payment.
Select the correct amount from the list of real-time incoming alerts shown on the device.
Attach the transaction to the current sale. The system will only allow the sale to be "unlocked" and completed once a real transaction is linked to it.
Step 3: Managing Staff Access
You can allow your employees to handle sales while keeping your funds 100% secure.
Assign Staff Roles: Your staff can use the POS to record sales and confirm incoming transfers.
Restricted Withdrawals: Do not worry about staff moving money. The Timart system is hardcoded so that all withdrawals go directly to your registered bank account.
Even if a staff member attempts a shortcut, they cannot "cash out" behind your back because the destination account cannot be changed by them.
Step 4: End-of-Day Reconciliation
Avoid the stress of manual calculations at the end of the business day by following these steps:
Open the Reports section on your POS.
Review the End of Day Reconciliation. The Timart POS automatically sorts your sales into categories: Cash, Card, and Transfer.
Match the total products sold against the money that entered. The report will show you:
Which product was sold.
The staff member who handled the sale.
The exact payment method used.
Confirm that the totals match. Because every transfer was linked to a real bank alert in Step 2, your records will be "clear like daylight" without using a calculator.
Step 5: Emergency Security (Lost or Stolen Device)
If your phone or POS device is misplaced or stolen:
Don't Panic: Your funds are locked to your bank account.
Even with physical access to the device, a thief cannot divert your money to a different account.
Log in to your Timart account from a new device to maintain control of your business data.
Pro Tip: Use the "Business Shield" mode to ensure that no sale is ever closed without a verified payment. This keeps you
r business "running and secure".
