How to Manage Supplies and Suppliers on Desktop
Managing your suppliers and supplies helps you keep accurate records of inventory, costs, and payments. You can add suppliers, record supplies, and update your stock with just a few steps.
How to Add a Supplier

Step 1: Go to the Homepage.

Step 2: On the side menu bar, click Suppliers.

Step 3: Click Add New Supplier at the top of the page.

Step 4: Enter the supplier’s Full Name, Phone Number, Email, and Address.

Step 5: Click Save to finish.
How to Record a Supply

Step 6: After adding your supplier, click Add Supplies beside the supplier’s name.

Step 7: Add the products the supplier is supplying.

Step 8: For new products, click Add New Product.

Step 9: Enter the Quantity and Cost Price.

Step 10: Update the Selling Price and Expiry Date (where applicable).

Step 11: Click Add to List when done. Repeat this process to add multiple products.

Step 12: When done, click Proceed.

Step 13: Select the Payment Status — Paid in Full, Partly Paid, or Unpaid.

Step 14: Add comments if necessary.

Step 15: Mark as Collected Items to add the products to your inventory.

Step 16: Confirm your inputs and click Save Supplies to finish.
Troubleshooting

Supplier not saving: Ensure all required fields (Name and Phone Number) are filled.

Product not appearing in the list: Use the search option to check if it already exists before adding a new one.

Inventory not updating after recording supply: Make sure you selected Mark as Collected Items.

Q: Can I record supplies without adding a supplier first?
A: No, you must first add a supplier to link the supplies.
Q: What happens if I select “Unpaid” as payment status?
A: The unpaid balance will reflect in your supplier’s account and can be settled later.
Q: Can I edit supplies after saving?
A: Yes, but only before they are fully paid and finalized.
