How to Add an Invoice

How to Create an Invoice on (Mobile)

Creating an invoice on your mobile device is easy. Follow these steps:
Step 1: Access the Invoice Feature

Go to the Homepage scroll down and tap on "Invoice" under Quick Actions.


Step 2: Start a New Invoice

Tap on "+New Invoice" to begin creating a new invoice.


Step 3: Add Important Dates

Enter the invoice date and due date.


Step 4: Set Up Automated Reminders

Tap on "Set Customer Reminder" to enable automated reminders. We'll send reminders to your customer one day before and on the due date for unpaid or partly paid invoices.


Step 5: Select or Add a Customer

Choose an existing customer, select a contact from your phonebook by tapping "Access Contact", or tap "Add new" to create a new customer.


Step 6: Add Items to the Invoice

Tap "Add Items" to select the products or services the customer is purchasing. When you're done, tap the "Add to Invoice".

Step 7: Review and Proceed

Review your invoice and tap "Proceed to Checkout" when you're ready.


Step 8: Update Payment Status

Select the payment status: "Paid fully", "Unpaid", or "Partly Paid".


Step 9: Add Additional Details (Optional)

If applicable, add shipping fees and terms and conditions to the invoice.

Lastly: tap on "Save Invoice" to finish

That's it! You've successfully created an invoice on your mobile device.


How to Add a Customer in Invoice

Adding a new customer to your invoice is a straightforward process. Follow these steps:
Step 1: Access the Invoice Feature

Go to the Homepage and tap on "Invoice" under Quick Actions.


Step 2: Start a New Invoice

Tap on "+New Invoice" to begin creating a new invoice.


Step 3: Add Invoice Dates

Enter the invoice date and due date.

Step 4: Access Customer Details

Tap on "Add new customer details, or select from an existing customer" under Customer Details.

Step 5: Choose an Option

You have two options:

‣ Select an existing customer by tapping "Access contact"


‣ Add a new customer by tapping "Add New"


Step 6: Enter Customer Information

Add the customer's details:

‣ Name

‣ Mobile number

‣ Set customer credit limit

‣ Optional: Address, email, and other relevant details


Step 7: Save the Customer

Tap "Add Customer" to complete the process.



That's it! You've successfully added a new customer to your invoice.




How to Record an Invoice on Desktop

Recording an invoice accurately is essential for tracking sales, ensuring timely payments, and maintaining comprehensive records. Follow these steps to create an invoice for an existing customer:

Step 1. Access the Invoice Section
  • Action: From the Homepage, click on Invoice located in the sidebar.

  • Direct access to the invoice ensures you’re using the correct tools and viewing the latest data for your business transactions.


Step 2. Create a New Invoice
  • Action: Select Create New Invoice.
  • Initiating a new invoice process helps keep your billing organized and separates new entries from existing records.


Step 3. Add Products or Services
  • Action: Click on +Add Product or Service.
    • For Existing Products: Search for the desired product(s), select them, and then click Continue.

    • For New Products: Click on +Add New Product on the side panel to enter product details.

  • This step allows you to accurately detail what is being sold, ensuring that your invoice reflects the correct items and pricing.

Step 4. Add Customer or Client Details
  • Action: Click on Add Customer or Client to Continue.
    • For Existing Customers: Search for or select the customer from the provided list.

  • Associating the invoice with the correct customer guarantees accurate record-keeping and facilitates communication regarding payments.

For Existing Customers: Search for or select the customer from the provided list.

Step 5. Enter Invoice Details
  • Action: Fill in the following fields:
    • Date Added: The invoice creation date.

    • Due Date: The date by which payment is expected.

    • Payment Status: Select the current status (e.g., unpaid, partially paid, paid).

    • Payment Method: Choose the method by which the customer will pay.

    • Optional Fields: Add any applicable discount, shipping fee, tax, and notes.

  • Detailed invoice information helps in financial forecasting, audit preparation, and ensuring clarity for both your business and your customers.

Step 6. Mark Shipping/Settlement Status
  • Action: Select whether the invoice has been shipped/settled.
  • This provides a clear status update on the order fulfillment process, improving logistics and customer service.

Step 7. Finalize the Invoice
  • Action: Once all information is accurately entered, tap on Save Invoice.
  • Saving the invoice securely records the transaction in your system, readying it for processing and future reference.


How to Add an Invoice for a New Customer (Desktop)

When you need to create an invoice for a customer not yet in your system, follow these additional steps to add the customer details and then complete the invoice process.

1. Start the Invoice Creation Process
  • Action: From the Homepage, click on Invoice in the sidebar.
  • Ensures that you begin with the correct module for handling all invoice-related actions.

2. Create a New Invoice
  • Action: Select Create New Invoice.
  • Keep your invoice entries distinct and organized.

3. Add Products or Services
  • Action: Click on +Add Product or Service.
    • For Existing Products: Search and select the product(s) then click Continue.

    • For New Products: Choose +Add New Product to add product details.

  • Detailed product/service entries lead to accurate billing and inventory management.

4. Add a New Customer
  • Action: Instead of selecting an existing customer, click on +Add New Customer.
    • Enter the following details:

      • Customer Name

      • Phone Number

      • Customer Credit Limit (if applicable)

      • Optionally, add the Email Address and any other relevant information.

    • Click on Save to finish adding the customer.

  • Registering a new customer directly during invoice creation saves time and ensures that your customer database remains current.

5. Proceed with Invoice Details
  • Action: Once the customer is added, select the new customer from the list and continue with the invoice process.
    • Enter the Date Added, Due Date, Payment Status, and Payment Method.

    • Optionally, include details like discount, shipping fee, tax, and any notes.

  • Providing detailed invoice and customer data enhances record accuracy, facilitating smoother transactions and improved customer relationship management.

6. Mark Shipping/Settlement Status
  • Action: Indicate whether the product has been shipped or the invoice has been settled.
  • Clarifies the order status, which helps in tracking deliveries and managing customer expectations.

7. Finalize the Invoice
  • Action: Tap on Save Invoice to complete the process.
  • Finalizing the invoice securely records the transaction, ensuring it is ready for follow-up and payment processing.
